Mandatory check-in! All moderators and presenters must check in with staff in the Speaker Ready Room.
Presenters are advised to review presentations; computer technicians and AIHA staff are present to answer questions. Messages and program changes are posted. Moderators are required to receive microphone training before the session(s) and to pick up Moderator Ribbons.
The Ready Room may also be used as a meeting place prior to the session to review program format and to meet the session monitor(s). In addition to distributing/collecting evaluations, monitors check badges, maintain quiet, serve as runners, and assist in emergencies.
At the start of the session from the lectern:
- Introduce yourself, the session arranger and monitors and identify the session title. Make the following announcements:
- Evaluation forms will be distributed by the monitors and may be returned to them, placed in the collection bin, or returned in the Speaker Ready Room. Evaluations provide valuable information on the suitability of topics and are used by committees and future session arrangers.
- If the room is crowded, ask everyone to sit in the middle and in the front so others may find seats. Fire regulations prevent individuals from standing in the back of the room or in the aisles.
- Note emergency exits.
- Turn off all cell phones and pagers; step outside to conduct conversations.
- Children are not permitted.
- Remind the audience to visit the Expo especially during non-compete times; the hours are listed in the Final Program Pages-at-a-Glance.
- Personal audio or video taping is not permitted. All sessions, unless otherwise indicated, are recorded by AIHce and available for purchase.
- Briefly introduce each speaker. Bio sketches will be provided by AIHA staff prior to conference.
- Advise the audience of any changes in presenters.
- Sessions must run on schedule! Maintain presenting order:
- Start and end the session on time to avoid creating scheduling problems later in the day.
- During your pre-session meeting, devise a way to notify speakers when their time is almost up.
- When time has run out, politely thank the speaker and firmly move on to the next speaker.
- If a podium session presenter is absent, the time slot may be filled with a break, Q&A or an update on committee activities.
- If a roundtable presenter is absent, individual speaker times may be adjusted, but the order in which papers are presented must be maintained.
Computer equipment is provided in all technical sessions; personal laptops are not permitted. Presenters must use the lavaliere microphone provided to ensure high quality audio recording. Avoid shuffling papers or holding conversations, as these noises will be picked up by the microphone.
AIHce encourages scientific debate, open communication, healthy discussion and respect for diversity of opinion. Expect questions to be asked and answered with professional decorum and within the accepted norms of professional behavior. Please ensure that any session(s) you moderate are conducted accordingly. In the unlikely event where there is an outburst or argument, send the monitor to the Speaker Ready Room and request AIHA staff come to the room.
