Speaker Ready Room – mandatory check-in!
To insure a monitor is available for each session, please remember to check in with staff in the Speaker Ready Room. Monitors will receive last minute instructions, updates regarding session(s) and Monitor Ribbons. You may also request to meet with the session moderator and / or the co-monitor before the session. The Speaker Ready Room is available for this purpose. In conversation with the co-monitor, decide how to divide the following session responsibilities.
If during your assignment issues arise for which you require assistance, please contact staff in the AIHce office.
Responsibilities:
- Check badges and collect special passes.
- Distribute and collect evaluation forms.
- Direct registrants to available seats in the front of the room. Note, fire regulations prevent individuals from standing in the back of the room.
- Assist the moderator in obtaining technical assistance, if required.
- Help maintain order and professional decorum.
At the session:
- Arrive early and familiarize yourself with the room layout, location of the light controls, evaluation bins, and emergency exits.
- Position yourself to check badges as registrants enter the room. All registrants must wear a badge, including presenters from other sessions.
- Booth personnel (green) and expo only (yellow) badges are not permitted in technical sessions. Children are not permitted in sessions.
- Collect any special passes distributed by staff to individuals attending a single session.
- Distribute evaluation forms as registrants enter the room. Ask that the forms be completed and returned to you at the conclusion of the session or placed in the bin near the entrance.
- Leave any blank forms from a morning session in the room. Collect and return completed forms to the Speaker Ready Room at the session conclusion.
- Sessions are recorded as noted in the Final Program; no personal taping is permitted.
- Remind registrants to turn off cell phones and pagers; instruct registrants to conduct personal conversations outside the room.
- All computer / audiovisual equipment is provided by AIHce; individual presenters are restricted from using personal laptops. An AV technician is located in the room or in the vicinity should problems with equipment occur. Introduce yourself to the technician.
- Discourage registrants from bringing food into the room, however, beverages are permitted. Ask individuals to dispose of cups and newspapers before leaving the room. Note: food and beverages are prohibited in the Main Auditorium and the break-out rooms.
