We recommend you set up a group meeting prior to the session to review program format.
Mandatory check-in Speaker Ready Room! Insist that speakers check-in and use the Speaker Ready Room to review presentations. Stations are available for editing; technical assistance is on hand; and AIHA staff are present to answer questions. Messages, program changes and other information are posted here. Pick up your Moderator Ribbons here, also.
1) From the lectern, introduce yourself, the session
arranger and monitors and identify the session and
title.
2) Please make the following announcements:
3) Briefly introduce each speaker. Materials to make these introductions will be provided by AIHA staff prior to conference.
4) Advise the audience of any speaker changes.
5) Maintain presenting order.
a) If a podium session presenter is absent, the time
slot may be filled with a break, Q&A segment or update
on committee activities.
b) If a roundtable speaker is absent, individual speaker
times may be adjusted but the speaker order must
be maintained.
Sessions must run on schedule! During your pre-session meeting, devise a way to notify speakers when their time is almost up. When time has run out, politely thank the speaker and firmly move on to the next speaker.
Audiovisual and computer equipment is provided in all technical sessions. Personal laptops for presentations are not permitted.
Presenters must use the lavalier microphone provided to ensure high quality audio recording. Speakers wearing microphones must avoid shuffling papers or holding conversations, as these noises will be picked up by the microphone.
In addition to distributing/collecting evaluations, monitors can also be runners in emergencies, assist in maintaining quiet, and check badges.
All session personnel, speakers and attendees should conduct themselves in a professional manner. In the unlikely case where there is an outburst, argument, disruption, or emergency send a monitor to the Speaker Ready Room and request AIHA staff come to the session.
Expect questions to be asked and answered with professional decorum and within the accepted norms of professional behavior. AIHce encourages scientific debate, open communication and healthy discussion and respect for diversity of opinion. Please ensure that any session(s) you moderate are conducted accordingly.
