Instructions for Case Study/Professional Practice Abstracts

(Podium or Poster)

After reading these guidelines carefully, print and save a copy then proceed to the end to begin the submission process.

Submissions must be received electronically by October 5, 2009, 5:00 p.m. U.S.A. Central Time.

New! Submit Abstract by Content Type

Abstracts can be submitted by either: 1) “Case Study/Professional Practice,” or 2) “Scientific Research.” Submit an abstract under “Case Study/Professional Practice” only if it meets this definition:

Case Study/Professional Practice: Focuses on a problem-solving approach in a specific situation. These presentations should describe applications of knowledge to real-world problems or an actual situation that was investigated or tested. Instructional type abstracts, e.g., describing a new methodology or equipment, should be submitted under case study/professional practice content type. Abstracts and presentations based on professional practice must clearly present the situation or problem at issue, the methods for fixing the problem as well as the results and lessons learned. (See section on Program Committee Rating Criteria.)

Submission Deadline

All submissions must be received electronically by October 5. Submissions received after the deadline will not be considered. No exceptions will be made.

Confirmation of Receipt

An email confirmation is available on request upon completion of your electronic submission. Follow the prompt. You can also view and print a confirmation of your submission through the online system once you’re finished. Note your control number.

Peer Review Process

All AIHce submissions are peer reviewed by the Program Committee consisting of the Permanent Conference Committee and representatives of the technical committees. Specific selection and rating criteria are listed under submission requirements for each presentation type.

Changes, Cancellations, Withdrawals

The Program Committee regards a submitted presentation as a commitment to present. If extenuating circumstances prevent the author from making the presentation, it is that author's obligation to find an alternate presenter and notify the AIHce office and the session chair (if applicable). Withdrawals must be made in writing to the AIHce office as soon as possible.

Under no circumstances can a submitted presentation be changed once the deadline for submission has passed. Cancellations, particularly after the presentation has been accepted and publicized, are viewed by the Program Committee as highly unprofessional.

Submission Formats

Submit your abstract/subject for a single format (podium or poster). Do not submit an identical abstract under the EHS Crossover Program or Roundtable format.

Speaker Registration / Funding

No funding is available for Podium or Poster presenters. All technical session speakers must register for the conference at the full conference fees. Speakers attending the conference for the day of presentation must register at the prevailing one-day rate.

Audio/Visual Support (Please read carefully!)

All slide presentations must be computer generated. Most software packages are acceptable. No speaker may use his or her personal laptop to give a presentation. If you have a question, please contact AIHce staff before submitting. Specific guidelines and instructions will be attached to your acceptance letter and are on the AIHce website.

Notifications

In mid-December an e-mail notification will be sent to each submitter regarding the disposition of the session. A link will be provided to display the appropriate status letter (which can be printed as often as necessary). Notification letters are addressed to the submitting/presenting author only. Note: Highly sensitive anti-spam software may block this letter since it is actually emailed by a third party. If you do not receive this email by January 15, 2010, contact AIHA staff immediately.

Confirm you have listed your correct and complete email address to ensure receiving this notification in a timely manner. Clicking on the Profile Button will allow editing if needed.

Certification Points

A presenter in an AIHce session (podium, EHS crossover program, roundtable or poster) whose presentation is at least 20 minutes will receive 1 CM point in ABIH Category 7/Other. (AIHce sessions undergo a peer review selection process.) Any presentation contributor whose name is included in the conference program will receive 0.5 points.

 

Submission Requirements Podium/Poster Abstracts

General Format Requirements

  • Your abstract is limited to 300 words.
  • Abstracts suggesting commercialism in any form will be rejected.
  • Do not include tables, figures, bibliographic lists, or subscripts in your abstract.
  • The substance of the abstract should not have been presented or published before.
  • The abstract should stand on its own and not refer to another work.
  • Typographical errors are unacceptable. Abstracts are published as submitted, after light editing for grammatical errors.

New! Program Committee Rating Criteria for Case Study/Professional Practice Abstracts:

  • Situation/problem: Clear description of the technical issue and surrounding environment.
  • Resolution: Detailed methods of addressing the issue, or controlling the problem (or attempted control).
  • Results: Substantiated findings of issue resolution or effectiveness of control (or attempt at problem resolution).
  • Lessons learned

Additional Review Criteria for all Abstracts:

  • Audience appeal. Interest to AIHce attendees, providing new/original, useful information.
  • No commercialism. Company names, trademarks, etc. should not be included in abstracts, and new programs or technology should not be advertised.
  • Content Type. Submitted under appropriate content type.
  • Instructions followed: Per posted guidelines.
  • Spell Check. Grammar and spelling are accurate.

Web Submission Form: Content Requirements

1. Abstract title: Make the title brief and clearly indicate the nature of the abstract. (Scientific research or case study/professional practice).

2. Author information: Enter contact information for presenting author and other authors. The contact author must be the presenting author.

3. Topic preference: Identify three subject areas from the list provided to which the paper is best suited. Abstracts are reviewed by the topic area’s technical committee reviewer and slotted in sessions according to the topic preference selected by the author.

4. Keywords: Enter up to two keywords to describe your topic.

5. Presentation format: Select Podium Only, Podium/Poster, or Poster Only. Select carefully. No changes can be made once submission acceptances are made. (Reminder: Approved abstracts in the “Either Podium/Poster” option may be assigned by the Program Committee to either category according to space and other considerations.)

6. Click on appropriate responses to various administrative questions.

Submitting Your Presentation Electronically

1. Before using the AIHce submission system, we recommend preparing the body of your presentation electronically (no authors, title, etc.) in advance, via a word processing file.

NEW! Make sure that the body of your abstract contains distinct sections that address the criteria for a Case Study/Professional Practice Abstract. Include the words: situation/problem, resolution, results, lessons learned. Use these four criteria (counted towards your 300 word limit) within your abstract to denote the sections.

a. Use "Times New Roman" font for text and "Symbol" font for symbols. Do not use third-party fonts!

b. Do not include the abstract title or author names in the file. The title and author information will be requested separately through the submission system. If you do include the title and/or authors, they will be counted in the maximum 300-word limit and your abstract will not be transmitted correctly.

c. Do not indent paragraphs or include blank lines between paragraphs.

d. Proofread carefully for facts, spelling, and type-size errors. No changes or edits will be permitted once the October 6 deadline has passed.

e. Save the file.

2. Submission Site.

a. We recommend Microsoft Internet Explorer 6.0. The submission site provides a link to the Microsoft site to download this version, if necessary. If you are using a different browser, please check the list on the AIHce web site to see if your browser is compatible.

b. View any updated instructions, download the newer browser, or start the submission process. Follow the instructions provided on each screen.

c. Be sure to record your login and password. You will need them later to submit another presentation, or edit your submission(s) prior to the deadline.
